Registration

What is the difference between main conference registration and pre-conference registration?

Main conference registration gives you access to keynotes, panel discussions, staff and peer-to-peer breakouts, networking opportunities and social activities, such as the welcome reception and celebration dinner.

Main conference including pre-conference registration includes all the above in addition to an interactive pre-conference workshop of your choice for leadership skills and professional development, led by expert facilitators.

Which email address should I use to register—personal or work?

You can use either a personal or work email address to register, as long as you have access to the email account when you are attending the conference. The email address will be used for accessing your registration and the IB Event app.

Is there a registration deadline?

No, there is no registration deadline. However, once we reach full capacity, we will not be able to accept more registrations. Therefore, we highly advise that you submit your registration as soon as possible.

How do I know if I am registered?

Successfully registered participants should receive a “Registration confirmation” email, which includes a confirmation number. If you have not received a confirmation email, please contact us immediately at [email protected].

How do I access my registration?

Click on the link shown in your registration confirmation email to access your registration.

If the event is sold out, can I still attend?

If the event is sold out, we cannot accept any more registrations. However, you can contact us to be added to the waiting list. In this case, availability cannot be guaranteed.

Visa support

Can I get a visa support letter?

As a registered participant, you may download the visa support letter from the registration page. If you have issues, please email us at [email protected].

Food and dietary

Is food provided during the conference?

Yes, food is provided for registered participants.

On Day 1, lunch is provided for pre-conference workshop participants only. On Days 2 and 3, lunch is provided for all registered participants. Dinner is provided for all registered participants at the celebration dinner. During the opening reception, only light snacks are provided.

Can special dietary requirements be accommodated?

You can indicate your dietary requirements during registration. If you have requirements but did not indicate them during registration, please write to us at [email protected].

Note: Not all dietary requests can be accommodated at every event. We do not serve pork at our global conferences.

Fees and payment

Does the registration fee include hotels and transport?

No, the registration fee does not include hotels and transport. Please make your own arrangements. For more information, please check our venue and travel page on our website.

Can I get a discount for my registration?

Participants can benefit from an early-bird fee if they register before a certain date. The deadline for the early-bird fee can be found on our website. Once the deadline has passed, all participants will be charged the standard fee. No exceptions can be made.

How do I get my invoice?

Invoices are sent automatically to your school’s billing contact upon completion of your registration. If your school has not received it within a few days, please email the IBO Finance team at [email protected] to request your invoice.

How do I know if my registration is paid?

If you paid by credit card, you will be able to see that your payment was successful on your registration page.

If your school paid by credit card, please check with Finance team at [email protected] to confirm the payment.

Note: Please ensure that your payment has been made successfully before attending the conference.

Registration modification

How do I modify my registration?

Log in to your registration page with your email and confirmation number, and click “Modify”. Once you have updated your details, re-submit your registration.

Can I change my pre-conference selection?

Yes, you can change your pre-conference selection, as long as there is availability.

To do so, log in the registration page with your email and confirmation number, and click “Modify”. Unselect the pre-conference item that you do not wish to attend and select the pre-conference item of your choice. Be sure to re-submit your modified registration.

You will receive a registration modification email once the change is completed.

I cannot attend. Can I transfer my registration to another person?

Yes. To do so, log in to your registration page and click “transfer registration”. Once you have completed the transfer, the new participant might need to log in to their registration and update their registration information.

Note: No new invoice will be generated to reflect the new participant's name.

Cancellation

Can I cancel my registration?

Yes, before the cancellation deadline. After the cancellation deadline has passed, please submit the relevant supporting documents to support your cancellation request.

What is the cancellation deadline?

For cancellations made 21 days before the event start date, a credit note will be issued for the full registration fee. Cancellations made after this time will forfeit 100% of the registration fee, with the following exceptions:

  • Change in travel regulations restricting participants’ travel to the destination.
  • Change in local regulations limiting the number of participants allowed at the conference.
  • Cancellation due to personal medical reasons. In this case, participants will need to submit a doctor’s or other medical practitioner’s report.

Attendees who wish to receive a credit note based on the listed exceptions must make this request within two weeks of the end of the conference.

I paid by credit card and I cancelled my registration. How do I get my refund?

The refund will be triggered back to the credit card that was used for registration. Please note that the validity for the credit card payment is six months. After that, you will need to reach out to [email protected] to arrange an offline refund.

Celebration dinner and companion pass

Can I purchase a companion pass?

If there is availability, you will be able to purchase one companion pass per registered participant. You may go to our website and purchase it.

Note: Companions should be of legal age to attend the opening reception and celebration dinner.

Is the celebration dinner included in my registration?

Yes. As a registered participant you can attend the celebration dinner at no extra cost.

What should I wear to the celebration dinner?

Dress code is smart casual.

IB Event app

When will the app be launched?

Participants will receive an email to download the app about two weeks before the start of the conference.

How do I access the IB Events app?

You can access it through the mobile app, or through your browser. Information will be available in the email sent to you two weeks before the conference.

If you have used the IB Events app for a previous event, please remember to log out and log in to the current event.

Note: Please ensure that you use the same email address that you used for registration to access the app.

Programme

When will I have the agenda?

All available sessions will be published on the IB Events app two weeks before the conference.

Can I book sessions in advance?

Yes, you can book sessions two weeks before the conference, once you receive the email to access the app.

How can I access the slides of sessions I attended?

Presenters might choose to share their materials. Available materials will be uploaded in the app; check the speaker’s profile or the session section to download the slides.

Onsite preparation

Will there be Wi-Fi at the event?

Yes, it will be provided throughout the event. Wi-Fi details can be found at the bottom of your name badge.

How do I print my badge when I arrive at the venue?

Ten days before the conference you will receive a welcome email from us, which will include your personal QR code.

When you arrive at the conference, please come to the registration area. Here, you will be able to locate the tablets that you can use to print your badge onsite by simply scanning your personal QR code.

You will only need to print your badge once, and this will be your pass throughout the conference as well as your entry pass to the celebration dinner.

How do I navigate through the venue?

There will be floor maps available via the IB Event app and onsite to help you find your way around.

Certificate

Do I get a certificate?

Yes. If you have attended the conference, you will receive your certificate of attendance via email within two weeks of the end of the conference.

Are professional development hours included in the certificate?

Conference certificates do not reflect professional development (PD) hours. Unlike PD workshops, the conferences do not track attendance in the same manner. Participants have the flexibility to attend sessions of their choice throughout the conference, and can also choose to spend time engaging in networking opportunities.
