The Diploma Programme Online Project was initiated in 2006 to explore options for online course delivery as part of the IB’s access agenda, which aims to enable more students to experience and benefit from an IB education regardless of personal circumstances. The introduction of Diploma courses online will expand the curriculum options and increase flexibility for existing IB World Schools. It will also enable the IB to reach students in remote locations and provide them with the opportunity to also participate in an IB experience through an authorized IB entity. Students and teachers from around the world will be interacting online in virtual classrooms, using the latest web technologies.
We are now seeking an administrator to provide high quality administrative support to the senior manager, online learning (DP) and the academic division management team. Reporting to the executive personal assistant, the jobholder will mainly undertake a variety of project work in support of team members working on the DP courses online project. In addition, the jobholder will plan, organize and support key meetings within the division and provide cover for other administrative team members as required. Key accountabilities include:
- chasing up and providing status reports on project deliverables expected from other departments
- scheduling evaluations and key meetings on the project
- taking notes at those meetings
- updating project schedules following meetings
- managing content on the IB’s public website
- setting up webinars
- maintaining a contacts database for the project and collating web survey data associated with the project
- setting up a system in Excel to capture expenditure and monitor spend against budget
- planning, organizing and minuting internal meetings and annual working parties held in the academic division.
Essential knowledge, skills and experience are:
- a good level of general education (to at least A-level or IB diploma standard, or equivalent)
- proven experience in an administrative role. Experience of working in a project and of taking notes at meetings would be an advantage
- good written and spoken English, you will be a good communicator and possess good interpersonal skills
- strong IT skills (including Microsoft Word, Excel and PowerPoint) and familiarity with Web 2.0 technologies
- able to work independently and as part of a team
- good organizational skills and ability to prioritize your work effectively
- attentive to detail; work produced needs to be accurate
