Administrative Associate Manager, School Services Ref 704s

This is a newly created position within the Asia Pacific regional office to lead, coordinate and manage a team responsible for administrative and frontline support to IB schools to ensure high quality and consistent service to both internal and external stakeholders.

The school services administration team develops and maintains data and information to support the team.  It is the main point of contact for advising IB school coordinators about the administration of the three programme areas of the IB: Primary Years Programme (PYP), Middle Years Programme (MYP) and Diploma Programme (DP).  The team will be responsible for accurately maintaining information on IBAP schools and the use of the IB Information System (IBIS).  There are currently 398 schools offering more than 550 IB programmes in the region.

This team is responsible for responding to inquiries from both prospective and current schools in a prompt and customer friendly manner while providing accurate programme information, in a dependable and consistent manner.

The post holder will work with internal constituents including the school services managers, finance team, communications, regional development, professional development and external constituents such as coordinators, heads of schools, parents, students and others.

Requirements:

  • A Bachelor’s degree in business administration or related discipline.
  • Proven ability to manage project implementation of a new service
  • Ability to design processes and systems in a way that is efficient and effective.
  • Experience of service based operational management in a multi
  • Excellent written English for communicating complex issues through letters, newsletters and in other media.
  • Excellent interpersonal skills in various contexts
  • Good IT literacy with all standard software and the ability to communicate IT needs as an informed client to IT specialists.
  • Good management skills to motivate and develop a small team.
  • Ability to prioritize, delegate and distribute work within a team
  • Ability to prioritise and meet tight and diverse timelines
  • Knowledge of all three IB programmes will be an added advantage
